Booking Terms and Cancellation
How deposits, balances, changes and cancellations work.
1. Making a booking
A booking is confirmed when we receive your deposit and send written confirmation of your itinerary, lodges and price. Quotes are given in US dollars per person, based on your dates, the number of travellers and the lodges you choose.
2. Deposit and balance
- A deposit of 30% of the total price is due to confirm your booking.
- The balance is due 60 days before your safari starts.
- For bookings made within 60 days of travel, the full price is due at booking.
3. Gorilla and chimpanzee permits
Permits are issued by the Uganda Wildlife Authority and the Rwanda Development Board in the names of the travellers. We buy them as soon as your deposit clears. Permit prices are set by those authorities and can change; if a permit price rises before we have bought your permit, the difference is added to your balance.
4. Cancellation by you
- More than 60 days before travel: your deposit is refunded, minus the cost of any permits already bought.
- 60 to 31 days before travel: the deposit is kept.
- 30 days or less before travel: the full price is charged.
Cancellations must be made in writing. We strongly recommend travel insurance that covers cancellation, medical treatment and evacuation.
5. Changes
We'll do our best to make changes you ask for after booking, such as dates, lodges or extra nights. Any extra cost, including permit change fees set by the park authorities, is added to your balance.
6. Changes or cancellation by us
Occasionally a lodge, flight or road condition forces a change. We'll replace any affected service with one of the same standard and tell you as soon as possible. If we have to cancel your safari for reasons within our control, you'll get a full refund of the money you have paid.
7. Health, fitness and documents
You are responsible for valid passports, visas and the yellow fever vaccination certificate required for entry. Gorilla trekking requires a reasonable level of fitness and a minimum age of 15. Rangers may refuse to let anyone with an infectious illness trek.

Something made for you
Any trip can be lengthened, upgraded or combined across both countries. Send your dates and the number of travellers, and you'll get a costed plan within a day.
